Position Overview O’Design is seeking an Event Specialist to join our Colorado-based team. This role is critical to the success of our Events Team, managing detailed Audio Visual (AV) event logistics for conferences and events nationwide. The ideal candidate is highly organized, detail-oriented, and self-motivated, with strong interpersonal skills to represent O’Design professionally with clients, vendors, and industry leaders. This is a work-from-home position with occasional travel (approx. 10%). Who You Are • Experienced in event planning or AV logistics (1–2 years in corporate meetings, conferences, or tradeshows required). • A proactive, independent worker who thrives in a remote environment. • Skilled in building strong client and vendor relationships. • Highly organized, able to manage multiple projects and deadlines simultaneously. • Proficient in Microsoft Office (Word, Excel, Outlook, Teams) and web platforms. • Familiarity with tools like Asana, Slack, and Zoom is a plus. • Positive, flexible, and solutions-oriented with excellent communication skills. Key Responsibilities • Help grow O’Design and contribute to achieving company goals. • Act as an O’Design Ambassador at all times. • Build, develop, and cultivate synergy within the team and company. • Serve as the primary contact for assigned events. • Manage full event logistics according to ES Processes and Procedures: • Sales hand-offs and understanding intent of business. • Execute company documents. • Maintain regular and consistent communication with clients, vendors, venues, and internal teams. • Send contracts for client signatures and prepare billing items for invoicing. • Review and approve vendor orders and final invoices. • Maintain precise documentation of all work completed. • Collaborate with Events Manager on client, vendor, or venue support and escalate concerns promptly. • Participate in daily event scrum meetings and bi-weekly in-person company meetings. • Communicate suggestions for improving company efficiencies. • Occasional travel for quality assurance. • Responsibilities may evolve with guidance from leadership. Mandatory Skills • Powerful and Strong Client/Customer Service and Abilities. • Strong organizational and detail management skills. • Ability to work independently and reliably in a remote setting. • Professional writing and communication abilities. • Proficiency in Outlook, Excel, Word, and Office products. • Quick adaptability to changing priorities and daily demands. • Effective use of communication tools (Zoom, email, phone, text). • Desire to learn and grow in AV equipment and labor knowledge. Preferred Skills • Experience with project management tools (Asana, Slack). • Ability to present work to clients and teams via virtual platforms.
