The Patient Service Representative role supports patient communication and administrative functions, directly impacting patient experience and clinic operations.
Responsibilities
- Screen incoming patient inquiries via phone, online messages, or other channels
- Provide courteous, patient-focused communication and problem resolution
- Address patient satisfaction, flow, and compliance issues, advocating for patients as needed
- Communicate operational difficulties and escalate issues to supervisors when necessary
- Handle patient requests for forms, medication renewals, referrals, and authorizations
- Review and update patient records including demographics, physician selection, and insurance information
- Maintain effective communication with patients, interdisciplinary teams, providers, and agencies
- Monitor appointment schedules to optimize clinic utilization and support patient needs
- Assist with data collection and ensure accuracy in reports such as no-show and telephone statistics
- Participate in problem-solving initiatives focused on productivity and quality improvement
- Engage in special projects and department-specific programs
Skills
- High School Diploma, GED, or equivalent work experience
- At least 18 years of age
- Minimum 1 year of customer service experience
- Experience with electronic medical records (EMR) or aptitude to learn EMR systems
- Proficiency in Microsoft Outlook, Teams, Word, and Excel
- Experience managing appointments and verifying patient eligibility using digital platforms
- Reside within commutable distance to Quincy, MA
- Ability to work full time, Monday through Friday, with flexible 8-hour shifts during business hours (8:30 am to 5:00 pm) and occasional overtime
- At least 1 year of experience in a clinical setting
- Familiarity with patient-related documents
