Note: The job is a remote job and is open to candidates in USA. Marvelous.works is a software platform designed to power high-effort manual outreach for ad-supported media sales teams. They are seeking a proactive, detail-oriented Part-Time Operations Coordinator to support their growing team, focusing on operational infrastructure, process improvement, and internal communications.
Responsibilities
- Support special projects around automation, internal documentation, and coordination of operational experiments
- Support the relationship with our PEO and manage onboarding/offboarding processes while coordinating quarterly feedback reviews with Operations Manager
- Maintain internal systems and file organization within Confluence and Google Drive with guidance and help from leadership
- Manage company subscriptions, tools, and vendors strategically, while tracking progress on internal tool development to ensure they align with evolving operational needs
- Handle state filings and compliance mail, including processing and routing physical mail
- Manage invoicing and accounts receivable through QuickBooks, ensuring accurate billing, timely follow-ups, and clear tracking of client payments
- Add and follow renewals, payment cycles, and other events to the operations calendar for thorough tracking
- Assist in organizing and executing team-building activities, company-wide all-hands meetings, and internal communication initiatives that support a connected, high-performing culture
- Help create and distribute materials for team events, ensuring that logistics, messaging, and participation are well-managed
- Manage active domains and ensure new and old emails are being maintained properly
- Track progress on operational tasks or projects and follow up with responsible team members
- Track employee expenses and organize receipts
- Assist with Client tasks such as Works user management, sunsetting emails, data transfers, etc
Skills
- A highly organized, proactive self-starter with strong follow-through
- Comfortable owning tasks end-to-end with minimal oversight
- Naturally curious and comfortable learning new tools and technologies (bonus if you're already using AI tools like ChatGPT to streamline your work)
- Excited by the idea of solving business operations challenges in a scrappy, fast-paced environment
- Great at written communication (bonus if you're comfortable writing process documentation)
- A systems thinker who thrives on improving how things get done
- 1–3 years in an operations, administrative, or coordinator role at a startup, tech company, or media organization
- Experience supporting HR/people ops, sales, or internal project management teams
- Familiarity with tools like Confluence, Slack, Google Workspace, and CRM's like Boostr and Salesforce
- Interest or background in ad tech, media, or sales augmentation platforms
