We’re looking for a Part-Time Executive VA to help us identify high-quality opportunities, create, manage, and optimise multiple outbound and nurture email campaigns - and submit compelling proposals. This role is ideal for someone who’s detail-oriented, data-driven, and experienced with email automation tools and creating winning email campaigns.
You’ll work closely with the founder to align on campaign goals and messaging — but you’ll own execution end-to-end, from setup and optimisation through to reporting. This is a long-term, part-time role with flexible hours.
What You’ll Do:
•Campaign Setup & Management – Build, launch, and manage multiple email campaigns using Instantly.ai and similar tools.
• List Preparation & Segmentation – Clean, segment, and manage lead lists to improve deliverability and relevance.
• Email Copy Support – Implement and test email copy, subject lines, and sequences to improve open and reply rates.
• Automation & Workflows – Set up automated sequences, follow-ups, and rules to scale outreach efficiently.
• Proposal Writing – Craft tailored, persuasive proposals that clearly communicate our value and address client needs.
• Lead Qualification – Assess each opportunity to ensure it aligns with our ideal client profile and service offering.
• Tracking & Reporting – Maintain a simple tracking system to monitor proposal outcomes, win rates, and areas for improvement.
• CRM & Handover – Ensure positive replies and warm leads are logged correctly and handed over to sales to ensure proposals align with our capabilities and messaging.
What We’re Looking For:
• Proven experience managing outbound or nurture email campaigns at scale.
• Prior experience in lead generation, proposal writing, cold calling or a sales support role.
• Hands-on experience with email automation tools (such as Instantly.ai, Apollo.io, Lemlist, Smartlead, or HubSpot sequences).
• Strong writing skills (English) with the ability to adapt tone and style to different types of clients.
• Detail-oriented and highly organised, with the ability to manage multiple proposals simultaneously.
• Proactive, independent worker who can deliver consistent results.
