Job Summary As a Facilities Maintenance Coordinator, you will provide administrative support to the facility maintenance department, ensuring that maintenance work orders are completed efficiently and as scheduled. You will work closely with operational leaders, external vendors, and finance to ensure that our facilities are well-maintained and compliant with regulatory requirements. This is a remote position, and you will have the flexibility to work from home and enjoy a better work-life balance. Key Responsibilities Work Order Management : Ensure that maintenance work orders are completed efficiently and as scheduled, and assist with the management of the centralized ticketing system. Vendor Management : Engage with existing third-party vendors to complete maintenance tasks, review and approve vendor invoices, and coordinate payment with the finance team. Communication : Communicate with operational leaders and landlords regarding the status and resolution of maintenance issues at the clinics they manage. Vendor List Management : Maintain a list of approved vendors by location and category, as well as division of maintenance responsibilities between tenant and landlord by location. Reporting : Provide regular reports to the Director of Facilities on maintenance activities, vendor performance, and compliance with regulatory requirements. Essential Qualifications Education : High school diploma or GED required. Experience : Working familiarity with construction, architecture, and building systems is highly desirable. Skills : Must be detail-oriented, have strong organizational skills, and be comfortable managing multiple projects and deadlines. Communication : Excellent verbal and written communication skills are essential. Technical Skills : Proficient working knowledge of Microsoft Office Suite, including proficiency in Excel. Preferred Qualifications Experience in Healthcare : Experience working in a healthcare setting or with similar facilities is highly desirable. Certifications : Relevant certifications, such as OSHA or facilities management certifications, are preferred. Project Management : Experience with project management tools and software is an asset.
